Think It’s Too Late to Switch Systems Before Fall? It’s Not.

May has a way of closing in fast.

The school year is winding down, summer planning is ramping up, and for a lot of district leaders, it starts to feel like the window for making a meaningful change in software has already passed.

Here's what we hear a lot: "We'd love to make the switch, but we don't have time to implement something new before fall."

We get it. But the timeline concern is usually based on experience with other systems, not Red Rover. Districts that kick off in May are regularly live by July or August, with plenty of time to spare before the first day of school. If you’ve been on the fence, this is your sign that the window isn’t closed yet and it's still very much possible.

How Red Rover does implementation

For many teams, the word implementation carries baggage. For a lot of districts, it conjures memories of drawn-out rollouts, mountains of manual data entry, and staff retraining that dragged on for the better part of a school year.

That’s exactly what Red Rover was built to avoid. Red Rover's process is different by design. "The biggest variable in any implementation timeline is how quickly the district wants to move through the process and which solutions they want to have go live first,” says Rich Kolmus, Red Rover’s Implementation Team Manager. That flexibility matters.

You're not locked into a one-size-fits-all rollout schedule.

Instead, the process follows a structured, milestone-based path from kickoff to go-live, built around a train-the-trainer model that equips your core team to manage and support the system long-term.

Here's how it typically unfolds:

Step 1: Plan, align, and get your data ready.

A kickoff call aligns on goals, timeline, and roles. From there, we'll guide you through completing our Data Workbook leading to a clean, efficient setup.

This is also where your team invests the most time in pulling together employee, substitute, and school data. If your data is spread across multiple systems, this is where it starts to come together, and if integrations are part of your setup, those are mapped out early.

Once your team is done, it’s easier than ever. Red Rover takes it from there, helping to load everything into the system and accelerating the rest of the process. It doesn’t hurt that Red Rover’s modern, intuitive software and single, organic platform makes data setup even simpler to plan for.

Step 2: Configure your system.

This is where your workflows come to life. No roundabouts or duct tape required.

Red Rover guides every configuration step, reviews and imports your core data, with integrating your other systems in mind. You share your district's policies and workflows; we will guide you to shape the system around them.

Step 3: Test, train, and go live.

Before launch, payroll testing ensures everything is accurate and ready.

Your administrators are trained and equipped with easy-to-access resources to support and bring the rest of your staff up to speed.

Then you go live, with Red Rover's Customer Success team ready to support you on the other side.

What about small HR teams wondering how they’ll manage it?

Smaller districts often assume implementation will overwhelm their already stretched teams.

Rich hears that concern often, but shares a sense of relief. "Some software implementations are intentionally structured to fill your calendar with meetings and increase billable hours," he says. "Instead of wasting your time, we design our implementations around 5-9 milestone calls, depending on the solutions you've purchased. Most calls are about an hour long and include follow-up tasks you can complete on your own schedule."

Training is flexible too. Self-service and on-demand videos mean your staff can get up to speed without being tied to long live training sessions or rigid training programs.

What if you’ve been on the same system for years?

Making a change after years on the same platform is as much about people as it is about technology.

Switching platforms can be a legitimate concern, and Rich hears it often. His team's approach is to understand those concerns and collaborate to solve them. "We want to listen with ears wide open to understand your current process, what's working well, and where there are opportunities for improvement," he says. "From there, we build your implementation in a way that feels familiar, not overwhelming."

That means meeting your team where they are, staying accessible throughout the process, adjusting along the way as needed, and providing extra support as your team finds its footing.

You can still be ready by fall

With Red Rover, a district that begins kickoff in May has a realistic path to a before back-to-school (or sooner) go-live. That means walking into fall with systems already in place, teams and staff easily trained up, and fewer fires to put out on day one. Not to mention the highest level of customer service and support no matter what challenges the next school day brings.
